WhatsApp orders: when they are enough, and when a board is calmer

Chat is easy at the start. In a rush, the message hides, the order is confirmed twice — or not at all.

WhatsApp is a friendly door: guests know it, and they do not need a new account. Plenty of free plans start there. The problem is ten chats open, the ping sounding like a pan, and the cashier replying “ok” to a duplicated ticket.

You do not have to hate chat. You have to know when it got slower than a ticket.

1. Small volume lives in chat

Ten orders a night, one number, one person answering. WhatsApp works. Complexity arrives with count.

Better: start on chat while you are still learning the list. When replies are slower than cooking, that is an upgrade signal — not a failed start.

2. A scroll is not a board

The message at the top vanishes under “ok” and a sticker. Order status lives in whoever holds the phone. If they step away, the floor stops.

Better: every order is a ticket: new, confirmed, preparing, ready. The team sees status, and does not remember it.

3. Edits in chat break the total

“No tahini, extra hot” after the kitchen started. In chat, the edit gets lost. On a board, it locks after confirm or changes in one place.

Better: items and extras assemble on the catalog before send. Notes are for rare needs, not every plate.

4. Two locations on one number

One group for both shops and a driver leaves for the wrong door. It happens a lot, and it is not the guest’s fault.

Better: each location has a channel or a board. Management sees all. Cashiers see their tickets.

5. Chat can stay a door, not the factory

Some people will still send a message. Fine. The inside — kitchen and cashier — still need a visible list.

Better: guests may start on WhatsApp. The team works from tickets. Do not make those the same screen.

A peak-night test
